How do I integrate MentalNote™ into my practice?
First, either personalize or familiarize yourself with the selections and the categories in the Medical Progress Notes, Lab Order and Prescription windows. Know how to maneuver around the program. This will allow you to spend more time focusing on the patient. Second, familiarize yourself with the operation of windows in general so you can quickly adapt to the use of a computer in your office.
- Make sure your computer is set up with printer access to produce paper archives, or a phone line for faxing prescriptions.
- Copy and paste, or export your note to your hospital or office LAN computer system without losing formatting.
Once I have the program, how do I learn to use it?
After you install the program, you will be given a choice to run the tutorial or review it later. If you bypass the tutorial, you can access it under the "Help" menu. There will be two sources of instructions for MentalNote™, both written in plain English and easy to understand. The Getting-Started Guide will take you step-by-step through setting up a user account, changing your password, and entering your first patient. The Program Documentation is a more complete resource for all the different functions of MentalNote™.
How do I backup the database?
Always backup your data on computer and laptops regularly with an external storage device. The program offers regular backup prompts to remind you.

What is the best method for incorporating MentalNote™ in my daily practice?
An office PC works well for quickly printing prescriptions or recording session notes. MentalNote™ also works well on a tablet PC due to the simplicity it offers when incorporating the process during the client sessions.
Are MentalNote SA & Office Electronic Medical Records/Electronic Health Records?
It is a simple solution to meet the need of electronic record-keeping. MentalNote™ SA and Office provide an easy, quick and inexpensive method to transcbribe with the benefit of storing your patients progress notes and evaluations electronically. It will allow you to access patients history, past medications and past notes for easy portability and quick data entry from your computer or database server.
Will MentalNote™ run on iPhone or PDA?
MentalNote™ will not run on a PDA. We are considering various platforms, such as iPhone, for future development. Please visit our user group or revisit our website for updates.
Will MentalNote™ run on Apple computers?
MentalNote™ is compatiable with Mac OS X 10.4 and 10.5. It has not yet been tested with the 64 bit OS X 10.6 Snow Leopard system.
Is MentalNote™ compatiable with Microsoft Vista?
MentalNote™ is compatiable with Microsoft Vista 32-bit and 64-bit Operating System.
What are the minimum system requirements to run MentalNote?
Windows: Pentium III 500 MHz or higher; 256 MB of RAM; CD or DVD drive; SVGA (800 x 600) or higher resolution video adapter and display, Windows XP (Service Pack 2).
Apple: G3, G4, G5 or Intel Core Duo Processor; 256 MB of RAM; CD or DVD drive; Mac OS X 10.4 and 10.5. It has not yet been tested with the 64 bit OS X 10.6 Snow Leopard system
Is there an annual fee for using MentalNote?
There is no annual fee for the single license product. We recommend that you check the website or user group for updates.
Will I lose my patient database if I don't purchase after using the trial version?
No. However, you will not be able to use the database until you purchase the software license. Once you have purchased the software, all your client data will again be available.

How do I personalize and customize my final progress notes, psychiatric evaluations and correspondence letters?
MentalNote™ will always let your review a draft of the final documents. During the review process, you can edit the draft documentation and add/remove/personalize the document. Every aspect of the program is customizable, from the logo to the check-list choices.
How do I print on Medi-Script tamper-free prescription pads?
For printing prescriptions on Medi-scripts® tamper-free prescription pads, set your paper size to A6 (105x148.5 mm) and portrait.
How do I import patient database(s) into another MN software?
You can import data from an older version of MentalNote by selecting the "File" menu, and choosing "Import Options." For details on how to use the different options, consult your "Help" menu and choose "Program Instructions." The section (2L) on importing will walk you through the process. You can also download the
importing feature step-by-step instructions.
For your reference, the database files are located on your hard drive in the folder C:\program files\H&T Medical Solutions LLC\MentalNote vX.XX.
Can I transfer my single license to another computer?
You can transfer your MentalNote™ Single License software to another device/laptop/computer at any time. You may be required to update your software if your version is not current.
Is an EHR require by 2014?
The fact is that EHRs are not required, not now and not in 2014. The legislation explicitly states (in section 3006 (a) (1)) that participation is VOLUNTARY.
Is the government requiring physicians to purchase an EHR?
There is not yet a requirement to participate; the legislation is built around financial incentives to encourage EHR implementation and penalities for late adoption. For at least the next 10 years-the period covered by the legislation-participation is voluntary. Section 3006(a)(1) of the HITECH Act says: "nothing in such Act or in the amendments made by such Act shall be construed to require a private entity to adopt or comply with a standard or implementation specification adopted under section 3004."
When do I have to purchase an EHR to obtain the maximum reimbursement?
The legislation explicitly states that adopting an EHR is voluntary. However, if you do plan to invest, you potentially can earn the maximum amount-$44,000 over a 5-year period-if they begin using the technology in 2011 or 2012. Even if they do not implement until 2013 or 2014, they still could be eligible for much of the incentive.
What are the reimbursement incentives to adopt and implement an EHR?
Here is the payment schedule for adopting an EHR.

In 2015, a 1% reduction in Medicare reimbursement will affect non-participants, 2% in 2016, and 3% in 2017.

What is meant by a meaningful use EHR?
To qualify for the incentive plan, all Electronic Health Records systems must demonstrate meaningful use of the certified EMR every year [Sec. 4101]. Incentives are earned by individual physicians, and each provider must demonstrate meaningful use personally. Therefore, it is possible that some physicians within a practice might qualify for payments, while others might not.
Although the terms of "meaningful use" are not yet finalized, some requirements are likely. See this
Matrix for review. The practice will be required to demonstrate effective use of ePrescribing, information exchange, and quality improvement measure reporting. The requirements for meaningful use become more stringent over time.
When will MentalNote be a certified EHR?
New certification standards are forthcoming as the Department of HHS recognizes to accomodate specialty-specific EHRs. We are developing MentalNote Online to meet the new HHS-Certification criteria as soon as they are available. Regardless, MentalNote will continue to improve functionalities and features to help physicians be more productive and less costly.
Can a physician receive both the MIPPA (Medicare) ePrescribing bonus and the Economic Stimulus Plan EHR incentive?
If a physician is successfully ePrescribing, then you cannot collect under both plans during the same payment period (i.e., a single year).
